The United Nations Economic and Social Commission for Asia and the Pacific (UNESCAP) invites Expression of Interest (EOI) from qualified companies to provide Supply, Installation, Integration and Commissioning Services for audio-visual, control, sound reinforcement and Simultaneous Interpretation System/s for Conference Room 3, which is located on level one of the United Nations Conference Center (UNCC) in Bangkok, Thailand. Conference Room 3 is the oldest room in the UNCC, with a seating capacity of 260. It has a total of 87 microphones, 78 at the delegates’ tables and 9 at the podium, and 260 listening units with channel selectors. The microphones and channel selectors are part of the Simultaneous Interpretation System, integrated with sound system, cameras, projectors and monitors at the podium, and projection screen in the room. The United Nations is operating similar conferencing facilities in different places, including its headquarters in New York. Therefore, in order to standardize the use of various conferencing and audio-visual systems, the principal concept recently implemented at United Nations Headquarters in New York is used as a guideline. Following such guidelines a consultancy work is already completed for detailed design and technical specifications of the system/s to be installed at Conference Room 3 in the UNCC. In the interest of UNESCAP the tender document is prepared to allow phase wise implementation of the project. The scope of work under this EOI is supply of equipment, installation, integration and commissioning, along with training of technical and IT personnel for operations and maintenance. A proposal will also be requested for long-term maintenance of the system/s. The System Integration process has to be based on the best practices in the industry and the overall breakdown of the project phase needs to be incorporated as desired. Implementation of this project may require integration with some of the existing systems, such as cameras, projectors and local video recorders. Detailed design, drawings and technical specifications will be made available for complete compliance, however anything deemed necessary to complete the system/s integration but not included in the design and technical specifications may be included with a proper justification. The scope of works shall cover the following: • Supplying equipment, cables and peripherals in line with detailed design and technical specifications provided; • Dismantling of the existing system/s wherever necessary, removing and disposing off all the items removed; • Modifying existing furniture as per the requirements of new equipment or refurbishing them if necessary; • Installing the new system; • Integrating the systems installed; • Commissioning and testing the system; • Training and handover; • Maintenance during the period of warranty; and • Proposal for post-warranty maintenance. The Contractor shall provide all know-how, labour, equipment, supplies, cables and materials to accomplish the tasks specified above. The Contractor should also have local support for servicing and maintenance of the equipment offered.

This EOI is limited to the design of AV, Control and Sound reinforcement system including Simultaneous Interpretation System, with a technical specification for a system integration based on this design. The design which is developed will form the basis of what will be deployed for the future renovations of other conference rooms in the UNCC. Design shall accommodate integration with the existing cameras, projectors and local video recorders, with provision of phased replacements of these systems as well as a future capability for centralized recording, monitoring, control, dissemination and distribution. As-built documentation for existing systems is available. Guidelines of the future plan will be provided, and at this time it is in line with the principal concept recently implemented at the United Nations Head Quarters in New York, conference and broadcast facilities. The statement of work for the companies shall be to provide a design and technical specification for supplying equipment and installation of the new audio visual system in CR-3. The system integration, including supply of all equipment and material will be provided by third party in a build phase, and is not part of this scope.*** Design shall be at detailed conceptual level, which shall be used as RFP SOW for system integration and shall be easily converted in for-construction set of drawings. The design services requested is part of an overall Project to enhance Conference technology systems in CR -3 and the overall goal is the replacement of AV, Control and Sound Reinforcement system, including simultaneous interpretation system based on design that replicates the specification and functionality of the Conference Room 4 in the GA Building at United Nations Head Quarters in New York, and for which documentation will be made available. **** The company which is successful in providing the design services noted under this EOI will be excluded from the bidding for the systems integration and supply of equipment and materials phase of the project (i.e the build Phase)
