Special Requirements:  1) 4 Wing Food Services is currently equipped to accommodate Ecolab cleaning solutions.  All bid items should fitinto Ecolab dispensers.  If the offeror is unable to utilize the dispensers already in place, they are to be replaced at no cost to DND, and must have Key Locking Devices. Non-functioning dispensers must be repaired or replaced within twenty four (24) hours of notice.  All dispensers are currently functioning and added dispensers are not required.   2) Offeror must be able to accommodate unforeseen situations and emergency orders within a forty eight (48) hour time period.  3) Offeror will be required to provide current MSDS information.  Packaging  The vehicles utilized for the transportation of the products must be maintained in good working order, and be clear of debris and vermin. It is important that the environment presented does not puta risk to the integrity of any other products contained therein. The vehicle must act as the interim storage facility from the company to the point of destination.   All items must be shipped to the specified delivery point on shrink or stretch wrapped pallets not higher than 180 cm in height. Items are to be palletized in such a way as to ensure the heaviest items are on the bottom of the pallet.    Pallets are to be loaded in such a way as to allow easy access for off-loading with a pallet jack.The Offeror must not load pallets one on top of another.  The Offeror is responsible for offloading all items.  Returnable pallets or shipping containers must be picked up by the Offeror when empty.  Pricing  All shipping charges must be included in the quoted prices. If the Designated Food Services Representative requests an item, which is not specified herein, the price is to be in accordance with the lowest prices charged for like quality and quantity of product on the date of delivery.  Pricesupport to justify prices may be requested by the Designated Food Services Representative.  In addition to the pricing offered, any price offering due to end of year or surplus manufacturing runs, special job lots, or special sales must be made available to the designated Food Services Representatives as they occur if the prices are less than those provided in the Standing Offer.   DND Ordering Responsibilities  All orders must be placed a minimum of two (2) working days prior to the expected delivery date by printed call-up, delivered by fax, e-mail or hard copy.  Notification will be provided to the Offeror one (1) working day prior to the delivery of an order if minor changes to the original order are required.  Order Confirmation of Availability  Potential shortfalls of any requested item shall be immediately brought to the attention of the designated Food Services representative. The Offeror shall bear all risks of loss or damages to the goods until such time as they have been delivered  The Offeror must pick-up and replace any rejected items within twenty four (24) hours of notification of the rejection.   Delivery shall be within seventy two (72) hours from receipt of call-up.   Final inspection and acceptance of delivery will rest solely with the Designated Food Service Representative at the point of delivery.  All products supplied shall be free of signs of deterioration, spoilage, dirt, or damage by rodents or insects. The Designated Food Service Representative shall have the right to reject products at the time of delivery and the Offeror must remove unacceptable products immediately at no additional cost to DND.  Discrepancies and Rejects  Any products not meeting quality standards of the Delivery Service Level must be returned (opened or unopened).  Delivery costs to replace all rejected and shorted items must be at the expense of the Offeror.  Substitutions  Substitutions will not be accepted without the written approval of the Food Services Representative. Any shortages from orders must be identified and reported to Identified User within four (4) working hours of receiving order. Shipments are not to be back ordered.  Quality Assurance  All products must be of recent production and have the latest production date available.  The shelf life or best before date must be clearly stated at the time of ordering.  The Canadian General Standards Board Specifications, most current edition, must be used as a reference for quality control.  Invoicing  A bill of lading and a printed purchase invoice must be provided to the Designated Food Service Representative at the time of each delivery, Hand written invoices will NOT be accepted.   The Designated Food Service Representative must verify with the suppliers representative that all items shipped have been received using the bill of landing provided with the shipment.   The Offeror is to ensure that a request for credit receipt is issued at the time of delivery for all items that are not accepted by Designated Food Service Representative at time of delivery. The Offeror agrees to provide the Designated Food Service Representative with a detailed credit receipt within (7) working days from delivery for all items that the Designated Food Service Representative and Offeror agree was shorted or damaged prior to delivery. Invoices will not be forwarded for payment until the Offeror provides the Designated Food Service Representative with approved credit receipt.   The Offeror must ensure all Invoices reflect correct pricing effective at the time of ordering. All invoices must be calculated in Canadian dollars.
