Perth and Kinross Council (thereafter known as PKC) invite interested parties to bid for the following components (4) of the Perth Kilt Run. Interested parties may bid for either individual components of the Race or the full package of the race. Parties should note however that the Marketing Management component cannot be bid for on its own but in conjunction with another component. Parties should demonstrate previous experience with similar events with Case Studies if possible. Responses are sought only from Bidders capable of providing a solution meeting the requirements of the Council outlined in this document. PKC shall not be liable for any expenses incurred in preparation of your quotation. Event Organisers should clearly denote to PKC whether the bid tendered is a Cost to PKC or an Income to PKC. Offers should be shown as Exclusive of VAT. a) Race Management Event organiser should supply a cost or offer to deliver the Kilt Run Race. This cost should also reflect the Income which the Event Organiser will receive from competitor entry fees. In 2013 this value was circa £18,000. Any sponsorship monies negotiated by the Event Organiser will be deemed as belonging to them. Event organisers should detail the cost they intend to charge for competitors for the 2014 race. It should be recognised that a high pricing structure may be a barrier to success given that contestants have to wear a Kilt during the race which is an additional cost to be taken into account. Please see Appendix A which covers some of the minimum requirements which PKC would require for the race. Organisers are respectfully reminded of the Aims and Objectives of the Kilt Run. There is a real opportunity to be creative within the Race Management and add value to the event. It is the challenge therefore that the Event is not merely a replication of previous years. Event Organisers will be required to provide PKC with an appropriate Contingency plan. b) Marketing Management The contractor would be expected to develop and present a Marketing and Communications Plan. This plan should detail how you would attract the maximum number of participants. The audience we wish to target include a. Previous Participants b. Families c. Recreational Runners/ Fun Runners d. Sports Groups Please see Appendix B which covers some of the minimum requirements which PKC would require for the race Organisers are respectfully reminded of the Aims and Objectives of the Kilt Run. There is a real opportunity to be creative within the Marketing Management package to raise the event from that of a local event to a national one. It is the challenge therefore that the marketing / media communications output is not merely a replication of previous years. Event Organisers will be required to provide PKC with an appropriate Contingency plan. c) Food / Drink / Catering Offering PKC ask Event Organisers to provide for the supply and management for a Food / Drink / Catering Offering for the event. For your information the 2013 event consisted of a Drinks Marquee and a Food Court (12 traders) The Kilt Run is a one day event and hours of trading will be from approx. 10.00 hrs to 17.00 hrs Please see Appendix C which covers some of the minimum requirements which PKC would require for the Event in terms of Catering, Food and Drink. Organisers are respectfully reminded of the Aims and Objectives of the Kilt Run. There is a real opportunity to be creative within the Food and Drink Sector to add value to the event. Organisers may consider demonstration as well as provision of services/products. The offering may showcase Perthshire or Scotland as a leader in the Food / Drink sector. It is the challenge therefore that the Event is not merely a replication of previous years. Event Organisers will be required to provide PKC with an appropriate Contingency plan. d) Entertainment Event organisers may contemplate supply of an entertainment programme which would complement the Kilt Ru
